External R&D Business Operations Coordinator

Location: Barcelona (On-site). We require 3 days working from the office and 2 days working from home

The External R&D team's remit is to support this vision by gaining key expert insights to shape our drug development strategy and conducting academic collaborations to advance the scientific understanding of cancer, exploring novel pathways, and developing innovative therapies that aim to improve patient outcomes. As part of this team, you’ll work with the academic alliances team and have ownership of providing project management support on external engagement activities such as external science panels, seminars, and science days.
Accountabilities:
• Partner with external engagement lead on leading coordination activities for external science panels, symposiums, science days, and seminars.
• Organize internal cross-project collaboration update meetings, and prepare and distribute meeting agendas, minutes, actions, and decisions.
• Manage senior executive calendar management and complex meeting scheduling for team members, including coordinating with internal and external stakeholders across multiple time zones.
• Process and reconcile expense reports for team members using AstraZeneca's expense management system, ensuring compliance with company policies and timely submission.
• Provide administrative support including preparing presentation materials, coordinating travel arrangements, and managing documentation for the team.
Essential Skills/Experience:
• Associate degree and minimum of 3 years of experience in administrative or project coordinator role
• Flexibility to adapt to changing business needs or project-specific requirements.
• Strong analytical and soft skills and excellent communication skills.
• Well-developed organizational and interpersonal skills. Comfortable working with culturally diverse teams.
• Experience of working with third party suppliers or external consultants, health care professionals and academic researchers, or equivalent.
• Good knowledge management practices and tools.
• Effective problem and conflict resolution skills. Solution-oriented mindset.
• Dedicated team player.
• Ability to understand contractual agreement structure, terms and obligations and be able to translate the terms in a way understood by senior management.
• Ability to assess issues/risks and effectively implement remediation measurements.
Desirable Skills/Experience:
• Experience of working in a global organization with complex/geographical context.
• Project management certification (desirable)
• Strong experience leading and managing a team (evidence of leading cross-functional teams focusing on good communication, passion for customers and working collaboratively).
