Job Description

The International Experiences Team is responsible for the management of international moves globally for AZ and for coordination of immigration and visa processes along with administrative support for relocation. The International Experiences Administration Specialist will primarily support with immigration and relocation. They will in particular be liaising globally with a range of external vendors/specialist service providers and internal contacts to support the activities.

Based in Guadajalajra, MX, you will be working within well established guidelines and with readily available higher level support. May have responsibility for multiple administrative tasks and projects. Will not be a Team Manager but may assist in the development of others, especially new starters.

The International Experiences Administration Specialist will primarily support with immigration and relocation. They will in particular be liaising globally with a range of external vendors/specialist service providers and internal contacts to support the activities.

Accountabilities

· Leading North America Mobility Email box. (shared email boxes) / employees and vendors.

· Immigration support – triage of email communication, identifying and

storing key documents for each employee to a shared resource.

· Support with cyclical immigration related activities e.g. Green Card

Extensions, H1B Lottery. (to immigration vendor) with times

· Administration of One Time Relocations in AZ systems.

· Make sure that all visa and immigration documents are processed on time and filed according to legal requirements, track V&I documentation for expiry and renewal

· Answer daily queries and questions related to US immigration

· Support internal audits

· Coordinate one time relocation processes

· Collaborate with external vendors/specialist service providers and internal contacts to support the activities

· Review and confirm invoices

· Oversee shared drive/Box, etc. maintenance, including folder creation, document addition/deletion/revision.

· Ensure internal and external data privacy compliance and that confidentiality is maintained at all times.

· Contribute to continuous improvement process reviews.

· Provide professional point of contact for internal and external parties

· Support preparation of IA costings (help prepare cost estimates)

Requirements

· A minimum of a High school diploma or equivalent, Bachelor's degree preferred.

· Minimum of 2 years experience in Human Resources. Previous experience as an Immigration Coordinator, Talent Acquisition Administrator with Immigration responsibilities strongly preferred.

· Ability to handle a high volume of inbound inquiries with poise, tact, and subtlety while maintaining confidentiality.

· Effective communicator (both written and spoken)

· Ability to prioritize conflicting demands and an unpredictable workload.

· Systematic/thorough approach to resolving ambiguous situations.

· Fluent in English

· Detail-oriented and highly organized.

· Cross-cultural awareness.

· Exceptional interpersonal skills/customer service mindset.

· Team player/positive attitude.

· Composed under pressure.

· Technology proficiency including (but not limited to) Outlook, Workday,

Desirable

· Effective communicator (both written and spoken)

· Previous service desk experience.

· Familiarity with query ticketing tools and CRM solutions.

· Knowledge of Workday, ServiceNow, AssignmentPro and/or Adobe Sign (a plus).

· Understanding of country-specific HR legislation..

· Practical experience in providing HR advice via email or phone

· Team player/positive attitude.

· Composed under pressure.
