Description
Serves as a Specialist and coordinates supply activities for assigned international product codes, from forecasting through final distribution to ensure established Customer Service targets are met, and to support special requests from BIAH GmbH and 3rd party customers. Interface routinely with other departments, including Distribution, QC, QA, Regulatory, and Production Planning to assure assigned product demands meet all approved regulatory requirements and on-time delivery commitments. Maintain consistent and timely communications on order status with BIAH GmbH CDept Logistics-Ingleheim, and the Logistics members of 3rd party Customers. Duties & Responsibilities
- Prepares and processes international orders through interdepartmental routings including Materials Management, Quality Control, Quality Assurance, Distribution, and the Credit Department as required
- Monitors status of orders in system to ensure their ultimate timely shipment through communications with internal departments including Materials Management, Quality Control, Quality Assurance, and Distribution, and Ingelheim International Logistics
- Select Broker for each shipment and supply details to broker to ensure order is transported as directed by Ingelheim communications. Make suggestions for alternatives to Ingelheim if situation for product supply is different from order expectations, ie… early or late availability of product
- Audits freight rates to ensure compliance of negotiated rates as supplied by Ingelheim Logistics
- Edits all Export Documentation for accuracy to avoid delays and assure all governmental compliance is met. Responsible that all required documents are supplied to Broker, and 3rd Party Customers to ensure that orders are not delayed to destination
- Responsible to ensure all Special Distribution Markings are communicated to warehouse personnel to apply to Export Containers/Pallets to ensure product is not delayed or lost
- Directs and coordinates the documentation, packaging, and distribution of all Export QA Testing samples for Biological and Pharmaceutical products. Also special requests from other BIAH departments
- Responsible for management of Bix@ system in regards to assigned BI Global Supply Product Families, concerning the product codes, units of measure, demand volumes, order due dates, and established lead-times. Includes packaging information and expiration dates
- Must be trained and certified in the transportation of dangerous goods under the appropriate national and international regulatory bodies. Produce a dangerous goods declaration for export shipments as needed
- Demonstrate working knowledge of the logistics industry and export compliance framework including EAR, BIS, and OFCA, applying it to all export transactions
- Responsible for correct AES entries or thoroughly reviews AES filings on all applicable export orders
- Performs other duties as assigned
Requirements
- High School Diploma with six (6) years of related experience or Associates degree from an accredited institution with four (4) years of related experience
- Bachelors Degree from an accredited institution preferred
- Expertise in international transportation and export documentation procedures and compliance with all export regulations
- Demonstrate working knowledge of the logistics industry and export compliance framework including EAR, BIS, and OFCA, applying it to all export transactions
- Knowledge of international transportation and export documentation procedures preferred
- Excellent verbal and written communication skills
- Must be able to manage multiple tasks
- Excellent organizational skills and attention to detail to ensure accuracy
- Knowledge of office equipment such as fax, copiers, and computers, including software such as Microsoft Excel, and Word
- Ability to work with international clientele recognizing diversity and ability to be flexible to work with their cultures if solutions need to be reached
- Work experience in Pharmaceutical/Biological manufacturing environment preferred
- Must be able to travel /domestic and international.
- Knowledge of office and Warehouse facility requirements are necessary. Must be able to handle dry ice and packaging materials up to approximately 50 pounds
- Vision clarity with or without correction to read handwritten data, computer-generated documents, and ability to work in front of computer screen for long periods of time
- Ability to react quickly, multi-task, and make changes within a minutes notice are required. Ability to work in a fast paced, often stressful environment is key to maintaining a customer focus and fulfilling requirements
- Planning and analyzing multiple options/scenarios as necessary. Accuracy and quality of work is key
- The Global Supply Department is 'schedule-driven', ie...things must happen on a daily basis and activities can't easily be moved from one day to the next. Therefore, consistent attendance and planning for absences is required. All work must be scheduled and plans must be in place for absences, both planned and unplanned. Global Supply requirements must be fulfilled on a daily basis, regardless of staff availability, thus reliable attendance is key. In addition, due to time differences of customers, early morning/late afternoon schedules should be open to allow communications with foreign customers. Must be able to work mandatory overtime if necessary to meet deadlines
