Overview

Under direct supervision of the Senior Clinical Research Accounts Specialist, the Clinical Research Accounting Specialist I is responsible for financial reconciliation and invoicing and assists with accounts receivable and accounts payable financial transactions generated from Dana-Farber Cancer Institute Clinical Research activity. Handles basic issues and problems and refers more complex issues to higher -level staff. In the absence of a Senior Clinical Research Accounts Specialist this position is under direct supervision of the Clinical Research Accounting Manager.

Responsibilities

  • Reviews and ensures adherence to financial terms and conditions of Clinical Research contracts and budgets.
  • Maintains accurate and organized accounts receivable, accounts payable, and financial reconciliation files.
  • Actively manages and tracks study financial activity of assigned disease center in the Clinical Trials Management System (CTMS) and works closely with study teams to ensure financial activity is up to date.
  • Conducts timely on-going financial reconciliation of study invoices and payments through study closure.
  • Ensures timely and accurate invoicing for services rendered and expenses incurred and ensures all invoices and payments are properly authorized, coded, and recorded in the CTMS.
  • Investigates, processes, and responds promptly to invoice revision requests and financial reconciliation requests.
  • Reviews and verifies study payments received, applies payments to applicable study activity in the CTMS, and reconciles discrepancies.
  • Assists with pursuing collections from extramural research sponsors and funding sources.
  • Organizes and maintains the Clinical Research Accounting central e-mail box; responds in a timely manner to applicable study financial e-mail communications.
  • Works closely with study and finance teams to address financial inquiries and support study-related financial management.
  • Liaise with sponsors, funding sources, and other external parties regarding study financial matters.
  • Actively works with sponsors, funding sources, and study teams to resolve study financial issues and discrepancies.
  • Works closely with sponsors, funding sources, and study teams to complete final study financial reconciliations and reports final outcome.
  • Liaise with Clinical Research Financial Analyst and report on study invoices, payments, and financial reconciliation status.
  • Prepares study financial reports, forecasts, and analyses for internal and external stakeholders and assists Clinical Research Financial Analysts in the preparation of Disease Center study financial reports.
  • Maintains thorough documentation of financial transactions, reconciliations, and supporting documentation for audits and general financial reporting.
  • Handles basic issues and problems and refers more complex issues to higher level Clinical Research Accounting team members.

Qualifications

  • High school diploma required.
  • Bachelor’s degree in accounting or finance preferred.
  • MCA Certification within 1-year of hire.
  • No experience required.
  • Working knowledge of the clinical trials lifecycle preferred.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Effective oral and written communication skills.
  • Good listening skills.
  • Ability to perform basic math and accounting skills.
  • Strong organization skills and attention to detail.
  • Proficiency in data entry and Microsoft Office Suite (especially Excel).
  • Ability to analyze and interpret financial data accurately.
  • Beginning to working knowledge of basic, financial, tax and accounting principles.
  • Good customer orientation skills.
