Major Responsibilities:

This position provides executive and administrative support to the C-Suite (CEO, CFO and General Counsel). The Executive Assistant will manage the executive's calendar, coordinate meetings, and handle travel arrangements. Additionally, the Executive Assistant serves as a key point of contact, managing internal and external communications while maintaining discretion with sensitive information.

Activities:

  • Organize and maintain the executive’s calendar, coordinate meetings, and manage time effectively.
  • Handle the organization, filing, and retrieval of confidential executive and legal documents, ensuring proper security, accessibility, and compliance with relevant protocols.
  • Manage the logistics of board meetings, including scheduling, coordinating the availability of board members, preparing materials, and providing on-site support during meetings.
  • Organize and coordinate events, conferences, and executive meetings.
  • Prepare correspondence, communications, reports, and other documentation, including press releases, agendas, and board meeting presentations.
  • Ability to anticipate the CEO’s needs, serve as a primary contact, keep informed with upcoming commitments and responsibilities.
  • Organize materials, agendas, and presentations for meetings; take minutes and track action items. Take meeting minutes.
  • Coordinate and schedule travel arrangements, prepare travel authorizations, and reconcile travel expenses.
  • Screen, prioritize, and respond to emails and other communications on behalf of the executive.
  • General office duties such as sorting through mail, filing, scanning documents, screening phone calls, managing supply purchases and inventory and greeting guests

About You:

Education: Bachelor’s Degree in a related field

Experience: 5+ years of related administrative experience. Experience with a research-focused biotech or pharmaceutical company preferred

Skills: Excellent oral and written communication skills. Proven ability to manage multiple tasks and meet deadlines. Must be able to maintain confidentiality and exercise discretion in dealing with sensitive material. Demonstrated success in effectively working with all levels within an organization. Strong organizational and planning skills, and attention to detail. Advanced analytical skills. Proficiency in MS office (Word, Excel and PowerPoint) required.

Salary range estimated for this position based in New York is $80,000-$90,000.
