Position Overview
The Order Intake Representative will be responsible for requisition receipt and intake of EMEA portal and orders. This role will contact physicians and other medical personnel when information on the order form is incomplete or unacceptable.
The place of work is Warsaw, Poland.
Essential Duties
Include, but are not limited to, the following:
- Process incoming EMEA portal and orders.
- Create customer service cases and set the appropriate follow update.
- Conduct quality checks to ensure accuracy of data entry.
- Send requests for specimens to pathology accounts and complete subsequent follow up.
- Administer activities in pertinent queues.
- Contact physicians, and various other medical personnel, to obtain information required to complete the order entry process.
- Perform pathology set-ups and order kit boxes, as needed.
- Document all phone calls and follow up activities in our Salesforce application according to standard operating procedures (SOPs) and the customer service department policy.
- Provide assistance, information, and education to customers in accordance with department policies and procedures.
- Work closely with our billing team to coordinate information on payer requirements.
- Assist in building on existing customer base by providing the highest level of customer service and support.
- Adhere to relevant SOPs pertaining to the data entry requirements for accessioning applications.
- Maintain a proper data base of our accounts and contacts.
- Other administrative duties.

Minimum Qualifications
- High School Diploma or General Education Degree (GED).
- 2+ years customer service experience.
- Significant PC knowledge and proficient in Windows OS.
- Intermediate/Advanced level of German (B2 or higher).
- Demonstrated ability to perform the Essential Duties of the position with or without accommodation.
- Authorization to work in the country of work without visa sponsorship.
Preferred Qualifications
- Bachelor’s Degree or equivalent experience preferred.
- 2+ years customer service experience in healthcare/lab or pharmaceutical industry.
- Experience following SOPs.
- Knowledge of other languages (French, German, Italian, Polish, Spanish) and/or Japanese.
