The Role


The Administrative Assistant will report directly to the VP, US Sales and Marketing while providing comprehensive administrative support across the organization. Beyond core administrative responsibilities, this role includes managing ad-hoc tasks such as planning and coordinating large group meetings, organizing MS Teams sessions, and overseeing logistics for company events, including all-hands meetings and employee engagement activities. Additionally, you will assist with arranging team conference schedules and organizing team-building events as required, ensuring seamless execution and a positive experience for all stakeholders.

This is a hybrid work model, requiring 3 days per week on-site at our Princeton, NJ office.

Responsibilities

  • Provide administrative and project support to the VP and other leadership team members as assigned.

  • Manage calendars, coordinate meetings (both virtual and in-person), and arrange travel logistics.

  • Handle administrative tasks, including filing, scanning, printing, and document preparation.

  • Facilitate vendor agreements, manage the contracting process, and follow up on invoices as needed.

  • Request and track purchase order numbers, ensuring accuracy and compliance with corporate procedures.

  • Prepare and submit expense reports using Concur; manage travel bookings through the corporate system.

  • Create and edit documents, presentations, and spreadsheets using MS Office tools.

  • Support onboarding and offboarding processes for team members within the department.

  • Plan and execute logistics for company-wide events, all-hands meetings, and employee engagement activities.

  • Assist in organizing conference and congress participation, including coordinating executive travel with cross-functional teams.

Requirements

  • A High School Diploma is required; a Bachelor’s Degree is a plus.

  • Minimum of 5 years’ experience as an executive-level administrative assistant.

  • Pharmaceutical industry experience (3+ years) and supporting multiple departments are advantageous.

  • Proficiency in MS Office Suite (Excel and PowerPoint proficiency preferred) and MS Outlook.

  • Strong organizational, communication, and follow-up skills.

  • Proven ability to manage multiple priorities and meet tight deadlines in a fast-paced environment.

  • Comfortable working with various levels of management and cross-functional teams.

  • A proactive, enthusiastic, and goal-oriented mindset with exceptional attention to detail.

  • Team player with demonstrated collaboration skills across diverse internal and external stakeholders.

    For US based candidates, the proposed salary band for this position is as follows:

    $67,520.00---$101,280.00

    The actual salary offer will carefully consider a wide range of factors, including your skills, qualifications, experience, and location. Also, certain positions are eligible for additional forms of compensation, such as bonuses.
