Job Description

SUMMARY:

The Document Control Specialist role is responsible for supporting the document management process within BG. This role will ensure compliance within the document management system, document storage & retention, and document issuance & reconciliation.

QUALIFICATIONS:

Education:
Bachelor's degree in life science or related field

Experience:
2+ years experience with MediaLab or other eQMS
2+ years experience in clinical laboratory support setting
2+ years experience with Iron Mountain, preferred
Poses fundamental understanding of clinical and/ or laboratory testing.
Experience writing, reviewing and editing SOPs, as well as other document types
Ability to work in a collaborative team environment, with a customer-focused approach
Proficient in Microsoft Office (MSWord, Excel, Outlook, PowerPoint, Smartsheet, SharePoint)
Works independently, organized, self-motivated, and results oriented

DUTIES AND RESPONSIBILITIES:

Under the supervision of management, responsible for the development, implementation, operation and management of the document management and training system, eQMS
Continuous improvement of the Document Control program
As the designated eQMS Administrator, provide services related to user establishment, assistance and training
Provide advice and consultation to stakeholders on how to achieve compliance with internal document control guidance and policies to the extent possible.
Ensure document drafts are controlled and organized according to established procedures
Review / Edit formatting of documents to conform to current templates prior to approval initiation
Collaborate with functional areas to determine and maintain accurate approval matrices within eQMS
Manage internal communications related to draft status, periodic review and training compliance
Supports scanning and uploading of BG documents
Coordinates the retrieval, storage and tracking of personnel documentation
Responsible for the management of interim document storage and long-term archival (both physical and electronic)
Collaborate with functional areas to determine and maintain accurate training assignments by way of training matrices and assign accordingly
Supports Document Control, Training, and Personnel metric generation, analysis and reporting
Assist in the development of presentations and reports for leadership.
Communicate transparently and appropriately with identified stakeholders.
Adheres to Code of Conduct as outlined in the Baylor Genetics Compliance Program.
