Job Summary (Primary function)

The Business Operations Conventions Associate Director/Director will oversee the strategy and management of the day-to-day operations of the Dermatology portfolio, including Conventions; Exhibit & Display (E&D); Sponsorships; and Charitable Contributions (CC).


This role will lead cross-functionally to ensure planning and execution of activities are aligned and support the overall meeting strategy across all business functions and therapeutic areas. Additionally, this role will have direct responsibility for all aspects of Conventions, E&D, Sponsorships, and CC management for the dermatology portfolio. This is a highly collaborative position where decisions will be made in a team environment, involving key stakeholders from internal departments and external partners. Position requires extensive contact with stakeholders to ensure excellence in operations, on-site execution, and financial reconciliation.

Essential Functions of the Job (Key responsibilities)

  • Lead the strategy and management of Conventions, E&D, Sponsorships, and CC for all Dermatology Business Unit.
    • Provide support, coaching and best practices to managers
    • Oversight of the technology and associated systems
    • Oversight of the convention budgets and contracting
    • Monitor industry trends and continuously assess opportunities for Incyte
    • Influence business leaders and effectively collaborate cross-functionally to deliver business results
    • Provide recommendations on policy, process and technology to the Head of Dermatology US Derm Business Operations
  • Day-to-day responsibility for Conventions for the dermatology franchise, including but not limited to:
    • Oversight of the planning and execution of Exhibits/Congresses
    • Work closely with cross functional partners to understand emerging business needs
    • Identify and implement projects that improve the exhibit experience and allow Incyte to execute more cost effectively, while providing efficient and effective delivery of organizational strategies
    • Responsible to manage exhibit expenses and ensure that all expenses align with Incyte’s financial policy and procedures, compliance, and financial and purchasing policies; and produce post exhibit reports and cost review
    • Develop and manage relationships with third party vendors in the exhibit industry to ensure superior execution, along with policy and compliance adherence
    • Maintain and update program data in Congress SharePoint Portal and Convention calendar information within Smartsheet
    • Manage, execute and administer all planning aspects of conventions, including association liaison and communications, commercial booth management, association exhibit space, meeting space and housing procurements, overseeing exhibit companies, exhibit shipments, installation and dismantling, representative staffing and scheduling, ancillary meetings, receptions, dinners and hospitality events
    • Interface with Product Strategy and Promotional Review Team to ensure all communications, sales literature, reprints, promotional items, convention graphics, and general information are pertinent and compliant
    • Manage all communication aspects of respective meetings/ conventions to internal attendees; inclusive of the coordination of various departments, field sales force, , and senior management, as appropriate
    • Direct vendors on delivering high quality service and assure compliance with service level expectations and timelines to ensure effective delivery of services. Ensure quality assurance and controls are in place.

  • Responsibility for E&D, Sponsorships and Charitable Contributions for the dermatology franchise, including but not limited to:
    • Manage the review & approval process of E&D requests (local and regional), Sponsorships, and Charitable Contributions for the dermatology franchise.
    • Management of the review & approval process of Sponsorships and Charitable Contributions, along with the associated review teams
    • Management of the technology and associated systems, including trouble-shooting and regular meetings with the technology vendor(s)
    • Produce, distribute and analyze E&D, Sponsorships, and CC metrics on a quarterly basis
    • Oversee technology and associated systems, troubleshoot issues, and conduct regular meetings with technology vendors.
    • Produce, distribute, and analyze E&D, Sponsorships, and CC metrics on a quarterly basis.

Qualifications (Minimal acceptable level of education, work experience, and competency)

  • Bachelor’s degree preferred or relevant experience
  • 10+ years of trade show related experience, preferably in pharmaceutical or healthcare industry
  • Must possess excellent project management leadership, including the ability to influence without authority and interact with all levels of internal and external personnel
  • Highly motivated, detail-oriented self-starter with exceptional time management and organizational skills.
  • Strong oral, written, and interpersonal skills with all levels
  • Ability to multi-task and oversee several operations at one time, face multiple deadlines and coordinate activities of different groups of individuals
  • Previous supervision/ manager experience of team
  • Demonstrated knowledge of PhMRA guidelines, FDA requirements relative to commercial and scientific exhibiting and interactions with healthcare professionals and Sunshine Act / Open Payments Reporting requirements
  • Strong knowledge of sales, medical and convention logistical requirements (e.g. sourcing, site selection, rooming requirements, meeting space, food and beverage menu development, and management of other suppliers as needed)
  • Demonstrate and utilize holistic understanding of exhibit planning process, including financial, compliance and close out responsibilities
  • Demonstrated experience with budget processes and reporting procedures
  • Demonstrated success managing both small and large scale meetings and events
  • Strong negotiation and analytical skills
  • Previous experience utilizing technology to enhance and improve processes
  • Excellent computer skills, including Microsoft Office Suite, especially Word, PowerPoint and Excel
  • Event and registration software experience

This role requires 4 days on-site with 1 day eligible for remote.
