Job Description

We are seeking a highly motivated individual to join us as an Administrative Coordinator to support the VP of Human Resources of Kite Pharma in Santa Monica. You will manage a wide range of support functions in a fast-paced, growing environment. You will be a key member of the team – and like everyone on the team, you may be asked to jump in to assist in areas outside of your primary responsibilities. You will be flexible, proactive, and resourceful, with a high level of professionalism and confidentiality. Additionally, the selected candidate will possess exceptional administrative and organizational skills, as well as demonstrate strong written and verbal communication ability. Excellent interpersonal skills are required, as this position interacts with all levels of employees and a team of administrative assistants across functions and locations.

Essential Responsibilities include but are not limited to:

  • Understand the goals and objectives of the HR function and contribute to the attainment of those G&Os by handling complex projects and events independently

  • Proactively maintain daily calendar for the Kite VP HR – manage schedule changes and resolve conflicts

  • Plan and submit travel instructions to travel agency – complete travel agendas related to lodging, ground transportation, meetings/locations/restaurants, etc.

  • Set up meetings – liaise with attendees (in-house or externally) and arrange needed resources (e.g., teleconference, projection, meals)

  • Schedule and coordinate interviews in partnership with Talent Acquisition and interview teams – greet candidates and assist with on-site logistics

  • Liaise with senior level external parties to provide information and answer questions and to coordinate activities, which are important to the function and leader

  • Effectively use software programs such as Outlook, Excel, Word, and PowerPoint to prepare and distribute memos, letters, reports, agendas, spreadsheets, organization charts, and presentations – organize online collaboration sites (e.g., SharePoint) for the Kite Executive Team

  • Collect, record, monitor, verify, and consolidate relatively complex data and information from multiple sources, and often with short lead time

  • Submit invoices and ensure payment as needed – manage navigation of Company purchasing processes and systems

  • Complete and process expense reports

  • Answer calls and assist in managing emails

  • Ensure that all work is completed with a high level of attention to detail and accuracy

  • Work closely with Gilead Executive Admins and maintain confidentiality

Basic Qualifications:

Bachelor’s Degree

OR

Associate degree and 2 years of administrative experience

OR

High School Degree and 4 years of administrative experience

Preferred Qualifications:

  • Experience providing administrative support to an executive leader

  • Ability to keep the big picture in mind and influence workflows accordingly

  • Exceptional professionalism to discretely handle confidential material, including sensitive financial information

  • Advanced Microsoft Office skills (Outlook, Word, PowerPoint and Excel) required

  • Superb proofreading and editing skills of technical documents


The salary range for this position is: $97,495.00 - $126,170.00. Kite considers a variety of factors when determining base compensation, including experience, qualifications, and geographic location. These considerations mean actual compensation will vary. This position may also be eligible for a discretionary annual bonus, discretionary stock-based long-term incentives (eligibility may vary based on role), paid time off, and a benefits package. Benefits include company-sponsored medical, dental, vision, and life insurance plans*.
