The HR Specialist will play a key role in analyzing, designing, and implementing both our current and new case management systems. This role includes collaborating with global HR Operations partners and stakeholders to ensure that solutions enhance operational efficiency and overseeing the smooth transition from the current system to the new one. We seek a forward-thinking, data-driven individual capable of recommending proactive improvements, such as optimizing workflows, enhancing user experience, and increasing self-service capabilities,

including the integration of generative AI (chat bot). The ideal candidate will have strong communication skills and the ability to work effectively across different cultures and time zones.

The HR Specialist will establish content governance for knowledge base articles, monitor portal traffic to understand user journeys, and promote top articles to guide users. By leveraging industry standards for a tiered support model, the goal is to resolve 15-20% of issues through self-service solutions initially, with the goal of increasing this percentage over time through data-driven insights and continuous improvement initiatives. Additionally, the role involves providing ongoing support and managing enhancements for the case management systems.

This position is part of the HR Operations – Total Rewards team and will be located in Sunnyvale, CA. At Cepheid, our vision is to be the leading provider of seamlessly connected diagnostic solutions.

In this role, you will have the opportunity to:

  • Review knowledge base articles for views and user feedback, update content as needed and analyze case trends to develop new knowledge base articles and how-to videos. These resources can be leveraged by generative AI chat bots to deliver information to users, thus enhancing user experience and making information more accessible.

  • Create and establish content governance to drive consistency and a common look and feel for knowledge base articles and how-to videos.

  • Recommend and implement proactive improvements to optimize workflows, enhance user experience, and increase self-service capabilities.

  • Conduct focus group meetings (Voice of the Customer) to capture feedback and ensure the case management systems meet user needs and expectations.

  • Work closely with business stakeholders to gather and document requirements for the case management systems and other related systems.

  • Regularly review the current case management system to identify areas for improvement and optimization.

  • Provide ongoing support and maintenance for the case management systems, troubleshooting and resolving issues as they arise.

The essential requirements of the job include:

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.

  • Minimum of 3-5 years of experience as an HR Specialist or in a similar role.

  • Demonstrated strong analytical, systems, and problem-solving abilities that drive operational excellence and significantly enhance user experience.

  • Excellent verbal and written communication skills, with the ability to convey complex technical information clearly and effectively to non-technical stakeholders.

  • Demonstrated success in implementing process improvements that substantially increase operational efficiency and effectiveness.

It would be a plus if you also possess previous experience in:

  • Previous experience in HR or using case management systems in a customer service environment.

  • Previous experience working in a global team or across multiple regions and time zones.

  • Experience managing projects or participating in project management activities, especially within HR.
