Job Summary

We are looking for a reliable Office Administrator. He or she will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy.

Responsibilities

  • Coordinate office activities and operations to secure efficiency
  • Manage agendas/travel arrangements/appointments etc. for the upper managers
  • Manage phone calls and correspondence (e-mail, letters, packages, etc.)
  • Support budgeting and bookkeeping procedures
  • Submit timely reports and prepare presentations/proposals as assigned
  • Data entry (sales figures, property listings, etc.)
  • General office management such as ordering stationery
  • Providing administration support to Sales Reps, Property Managers and Senior Management
  • Communication between overseas staff and Headquarter in China
  • Get involved in some project management.
  • Handle confidential information: Manage and maintain sensitive and confidential information, ensuring it is handled securely and in compliance with the organization's policies and procedures.
  • Maintain confidentiality: Uphold strict confidentiality in dealing with sensitive information, including personnel matters, legal documents, financial data, contracts, and other proprietary information.

Requirements

  • Proven experience as an office administrator, office assistant, or relevant role
  • BSc/BA in office administration or a relevant field is preferred
  • Outstanding communication and interpersonal abilities
  • Excellent organizational and leadership skills
  • Familiarity with office management procedures and basic accounting principles
  • Excellent knowledge of MS Office and Office management software
  • Qualifications in secretarial studies will be an advantage
  • Bilingual in German and English
