ROLE SUMMARY

The Meetings, External Engagements, & Travel (MEET) Americas Hospitality Lead is responsible for supporting the implementation of MEET’s hotel and venue selection processes within the Americas and for overseeing the execution of day-to-day hotel and venue selection. In addition, this lead will oversee Standard Hotel Contract (SHC) adoption and adherence within the Americas, serving as the primary point of contact for any issues or challenges and ensuring that all contracts contain Pfizer’s standard terms and conditions. This lead will also be responsible for ensuring compliance in all hospitality-related operations within the Americas.

This role will work closely with the Global Hospitality Lead, Regional Hospitality Analysts, Regional Process Lead, MEET Regional Operations teams, and business external stakeholders, including hotel partners stakeholders as needed.

This role will report directly to the Global Hospitality Lead and will manage a team of 5-10 colleagues.

Hotel and Venue Selection

  • Oversee operations for the hotel and venue selection process on a day-to-day basis in the Americas
  • Assign selection responsibilities for each engagement to analysts within the Regional Hospitality team, and monitor progress for all selection-related activities
  • Monitor KPIs for the Americas, ensuring adherence
  • Ensure seamless coordination with Regional Hospitality Team, MPAs, and business stakeholders for the Americas
  • Escalate any issues or challenges related to hotel and venue selection in the Americas to the Global Hospitality Lead
  • Ensure team obtains best possible rates and concessions for Pfizer
  • Ensure team maintains all key fields and requirements in relevant systems (Cvent, etc)
  • Work with DSCOE on appropriate dashboard monitoring of activity

Standard Hotel Contract (SHC)

  • Oversee adherence to Standard Hotel Contract for the Americas via tools and strategy set forth by Global Hospitality Lead
  • Escalate any issues or challenges related to Standard Hotel Contract adoption in the Americas to the Global Hospitality Lead

Stakeholder Engagement

  • Serve as the primary point of contact for any questions or escalations related to hotel/venue sourcing in the Americas and to Standard Hotel Contract-related questions in the Americas

People Management and Development

  • Provide coaching and development for team members (i.e., Regional Hospitality Analysts) through structured processes and tools, including individual and talent development

BASIC QUALIFICATIONS

  • Comprehensive knowledge and expertise in the technology landscape that supports MEET
  • Experience with accounting or compliance / audit transactions, preferably in a shared service with strong compliance controls
  • Ability to manage multiple stakeholders
  • Proficiency in PC skills (MS Excel, Word, PowerPoint) required
  • Good organizational skills to coordinate and manage multiple priorities
  • Strong technical skills in managing transactions within a system
  • Strong written and verbal communication skills enabling effective communication with all levels of management
  • Strong customer service skills and mindset
  • Understanding of compliance / financial controls
  • Strength with multitasking and ensuring accurate detail
  • Ability to work under pressure and to handle several projects at once
  • High level of self-motivation, energy and flexibility
  • Understanding of MAPP Policy terms and healthcare compliance policies
  • Strong interpersonal and organizational skills
  • Must have strong negotiation skills
  • Strong supplier relationships

PREFERRED QUALIFICATIONS

  • Typical Years of Experience: 5+ years of experience in meeting planning or venue selection
  • Minimum of bachelor’s degree in Hospitality, Business, or a related discipline
  • Experience in pharmaceutical meetings operations
  • Background in hotel souring and venue selection preferred
  • Fluency in English and Spanish is a must; additional languages preferred
  • Comfort with ambiguity, anticipates changes, and influences direction of innovative operational strategies
  • Previous experience with pharmaceutical companies is preferred
  • Comprehensive knowledge of the meetings & travel industry
  • Fundamental knowledge of a large, customer facing operations team
  • Ability to engage with stakeholders to resolve issues and achieve objectives
  • Proficiency in PC skills (MS Excel, Word, PowerPoint) required
  • Knowledge of Cvent
  • Proficiency with data analysis and visualization
  • Experience with Foreign Corrupt Practices Act transactions preferred
