Job Description
About the role
We are looking for a Junior PMO and Process Excellence Assistant to join our team in Lisbon.
The ideal candidate will be a quick learner with project management knowledge.
This position provides multifunctional support to the entire company in the new operational model, managing and tracking administrative tasks, ensuring quick responses and compliance with internal procedures. Additionally, the candidate will have the opportunity to work on cross-functional projects with a strong digital component, contributing to the company's digital transformation.
Responsibilities:
- Provide administrative support to all departments (Commercial, Patient Value and Access and Communications, Legal, Compliance, DD&T, and HR).
- Collaborate with Brand Managers in managing and coordinating marketing plan actions, including organizing internal and external events.
- Manage and track activities until their closure in the system.
- Prepare, collect signatures (DocuSign), and file contracts/SoWs in Linc.
- Manage the lifecycle of receipts/invoices and purchase orders in the system, from creation to closure.
- Register and update new suppliers.
- Support the Due Diligence process.
- Monitor unposted invoices and payment delays, managing possible incidents during the process.
- Contact suppliers for administrative tasks, such as organizing events.
- Support the organization of internal and external training courses.
- Manage collaborations and other activities with doctors.
- Manage the shipment of promotional materials to the warehouse and the sales force, alerting responsible parties when materials are nearing expiration and requesting replacement/destruction of materials/SmPCs when necessary due to an update.
- Identify challenges in process excellence (internal in PAC or external) and propose/participate/lead improvement measures/projects.
- Participate in compliance guidance for supported teams and identify areas of risk or training reinforcement.
- Work on cross-functional projects with a strong digital component, contributing to the company's digital transformation.
Requirements:
- University degree.
- Experience in support positions for sales and/or marketing teams.
- Knowledge in PMO working.
- High level of English, both spoken and written.
- Knowledge and use of IT tools.
