Job Summary

Advancement at CU Boulder encourages applications for a Senior Advancement Assistant! The role operates as a key support member of the Buff Club team and uses autonomy, independence and subject matter expertise to provide administrative support for a high-performing and collaborative external relations team.

This position will work under minimal direction on a broad array of administrative duties that are variable and sophisticated in nature and is tasked with exercising a high level of discretion and confidentiality, especially as it relates to assigned responsibilities with donors, faculty, staff and other constituents. This role applies skills and knowledge in multiple administrative functions, but many responsibilities reflect a distinct Advancement and constituent engagement component.

Responsibilities

What Your Key Responsibilities Will Be

Administrative Support

  • Provide administrative support to Buff Club staff and donors via monitoring of main Buff Club phone line and email, forwarding leads to Major Gift team when applicable.
  • Assist in the processing of donor checks and gifts.
  • Maintain office equipment and ordering of office supplies.
  • Proactively engage with the division’s Administrative Team (A-Team) and attend scheduled meetings.

Events & Engagement

  • Coordinate and complete 4+ event series throughout the year, including Buff Club Night at Olympic Sports, Flatiron Friday events during football season, and all events for Annual Fund donor base.
  • Complete save the date and invitation design, collect RSVP’s, complete venue identification, catering, on-site event staffing, and post event expenses.
  • Under direction of the Director, serve as a team representative on committees within Athletics, the Advancement division, and campus initiatives.
  • Ownership and execution of Advancement engagement tracking and data, and liaison to the Advancement SEAL Team.

Acknowledgment & Stewardship

  • Ownership and execution of the Buff Club acknowledgment program. This includes a weekly generation and interpretation of gift fund reports, and execution of mailed collateral.
  • Collaboration with Major Gift team on personalization of process to specific donors; work directly with Athletic Director’s Office on leadership level gifts.
  • Ideation and implementation of all Annual Fund acknowledgment and stewardship plans, including premium seating, gift mall, and membership level gifts.
  • Ownership of Buff Club scholarship donor program, inclusive of match process and execution of stewardship.

Other Duties As Assigned

  • Serve as a resource for newer development assistants in the unit and across the division.
  • Responsible for special projects as requested by management, and performs other administrative duties as needed.

What You Should Know

  • This position will occasionally be required to work evenings/weekends, in particular, attendance is required for home football games.
  • This position is working in-person.

What We Can Offer

The salary range for this position is $62,000-$67,500. Relocation assistance may be available within Advancement guidelines.

What We Require

  • Bachelor’s degree or equivalent experience or equivalent combination of education and experience may substitute.
  • 3+ years of professional, job-related experience.

What We Would Like You To Have

  • Intercollegiate or Athletics experience preferred.
  • Experience in or understanding of a non-profit or higher education environment.
  • Experience in customer service and/or a role driven by operations.
  • Experience working events.
  • Software Used: Microsoft Office products, donor tracking software (Salesforce), Zoom, Teams, LinkedIn, DocuSign, m-Fin, Marketplace, Concur, Paciolan.
